Terms & conditions
In these General Terms and Conditions of Accommodation, “ZOOM HOTEL”, “we”, “our” or “us” refers to Zoom Services, a limited liability company under Belgian law, registered with the Brussels Register of Legal Entities under number 0521.673.522, with its operating office located at Rue de la Concorde 59/61, 1000 Brussels, Belgium, and VAT number BE0521673522.
Zoom Services owns, operates and manages the hotel establishment under the brand name ZOOM HOTEL.
Article I. Preamble
“Customer” refers to any natural or legal person making a reservation at ZOOM HOTEL, whether directly or indirectly, through other channels.
The Customer, as a consumer, benefits from the rights specifically provided for by the legislation in force. The Customer declares that they have the full legal capacity to accept these General Terms and Conditions.
Any reservation at ZOOM HOTEL implies that the Customer has consulted, understood and fully accepted, without reservation, these General Terms and Conditions as well as the sales conditions linked to the selected rate.
Article II. Purpose
These General Terms and Conditions are intended to define the rights and obligations of the parties in the context of the online or remote reservation of services offered by ZOOM HOTEL via its website and mobile services.
They govern all stages of the reservation process and reservation follow-up.
By confirming the reservation, the Customer acknowledges having read these General Terms and Conditions and also accepts the Privacy Policy, as well as any other regulations, conditions, notices and/or additional instructions that may be provided to them and that form an integral part of the contract.
Customers are also advised to carefully read the General Terms and Conditions, as well as the above-mentioned policies and conditions, before requesting or making a reservation at ZOOM HOTEL, and to do so each time a new reservation is made, as we reserve the right to change, modify, add or remove any part of these General Terms and Conditions at any time.
In the event of any inconsistency between these General Terms and Conditions and a specific condition, including but not limited to any specific condition applicable to the region in which the hotel concerned is located, as set out in these conditions, the specific condition shall prevail to the extent of such inconsistency.
Article III. Scope of application
These General Terms and Conditions apply to all reservations made via the website, the mobile services of ZOOM HOTEL or partner websites.
Article IV. Duration
These General Terms and Conditions remain applicable for as long as the services are made available online by ZOOM HOTEL.
ZOOM HOTEL reserves the right to temporarily suspend or close access to the website or the reservation module without prior notice.

Article VI. Reservation confirmation
After validation, the Customer receives a reservation confirmation containing all information relating to their stay.
This confirmation, together with these General Terms and Conditions and the Internal Rules, constitutes the firm accommodation contract between the Customer and ZOOM HOTEL.
A reservation at ZOOM HOTEL only becomes valid and binding for us once the reservation has been accepted, the Customer has received a confirmation email and we have received payment or prepayment, where applicable. For this reason, the Customer must provide the requested information, which will be processed in accordance with our Privacy Policy.
Article VII. Rooms and common areas
ZOOM HOTEL offers the following accommodation categories:
- Comfort Twin: room for two people, twin beds, bathroom with walk-in shower or bathtub, full amenities.
- Comfort Double: room for two people, king-size bed, bathroom with walk-in shower or bathtub, full amenities.
- Premium Double / Triple: larger room, king-size bed, bench seat that can accommodate a third person or serve as a lounge area.
Full amenities:
The amenities included in all rooms are: high-end bedding, private bathroom, Nuxe welcome products, air conditioning, free Wi-Fi, Chromecast smart TV, workspace, Segafredo coffee machine with a selection of teas, mini-fridge.
Guests have free access to the common areas. Compliance with the Internal Rules is mandatory. Any misuse of the facilities may be charged.
Article VIII. Rates
The prices displayed at the time of reservation are valid for the selected room, period and number of people.
Rates are expressed in euros (€) and may be changed without prior notice. Only the rate confirmed at the time of reservation shall be binding.
The city of Brussels charges a tourist tax of €5.60 per night, which is added to the total amount.
Obvious errors, including pricing errors, are not binding.
Promotions and special offers are clearly identified. They cannot be claimed in the event of an obvious error.
Article IX. Room allocation
Rooms are allocated by ZOOM HOTEL at check-in.
ZOOM HOTEL may, for operational reasons, modify the allocation before or during the stay, without financial compensation.
Article X. Arrival and departure
– Check-in: from 3:00 p.m.
- Early check-in possible subject to availability, with a supplement.
- Access card provided on arrival.
- Loss, damage or non-return: €5.00 penalty.
– Check-out: until 11:00 a.m.
- Late check-out possible subject to availability, with a supplement.
- An overrun of up to 2 hours will result in a supplement. Beyond this, a full night will be charged.
- In the event of early departure, the full amount of the initially reserved stay remains due.
Article XI. Cancellation policy
– Flexible rate:
- Free cancellation up to 24 hours before arrival.
- After this deadline or in the event of a no-show: 100% of the stay will be charged.
– Non-refundable rate / Early departure / No Show:
- 100% of the stay will be charged.
– Special offer
– Reservations of 4 or more rooms per night are subject to group cancellation fees and specific terms, which will be communicated in writing together with the reservation.
Article XII. Security deposit
If the Customer does not wish to provide a bank guarantee, a deposit of €200 in cash or by card is required at check-in.
This will be returned on departure after the condition of the room has been checked.
Article XIII. Stay at the hotel
The Customer undertakes to use the room and the hotel facilities respectfully. Any behaviour contrary to accepted standards of conduct, public order or the proper functioning of the establishment authorises ZOOM HOTEL to require the Customer’s immediate departure, without compensation or refund.
Smoking is strictly prohibited in the rooms and throughout all indoor areas. Any violation will result in a fixed fine of €250 to cover cleaning and restoration costs.
Children who have not reached the age of majority, as determined by the applicable law in Belgium, and who stay at ZOOM HOTEL must be accompanied by their parents, authorised teachers or other duly authorised guardians.
We may request the necessary documents confirming that the child is accompanied by their parents, an authorised teacher or another guardian.
Only adults, meaning persons who have reached the age of majority, may make reservations at ZOOM HOTEL.
Pets are not allowed, except for guide dogs.
Visitors are only allowed in the hotel’s common areas; access to the rooms is strictly prohibited.
ZOOM HOTEL reserves the right to access the rooms for housekeeping, emergency or safety reasons, or in the event of suspected illegal activity or activity that does not comply with the Internal Rules.
Charging bicycles or electric vehicles in the room is strictly prohibited, except in specifically designated and authorised areas.
It is strictly forbidden to organise parties, gatherings or evenings in the room, as well as any activity generating noise nuisance likely to disturb other Customers. Failure to comply with this rule may result in staff intervention, additional charges or even immediate eviction.
The room may under no circumstances be used for commercial, professional or promotional activities, including photo shoots, interviews, client meetings, sales or any other use unrelated to the hotel stay, without prior written authorisation from ZOOM HOTEL.
ZOOM HOTEL makes every effort to ensure the comfort and safety of its guests; however, the Customer remains responsible for supervising and securing their personal belongings. The hotel cannot be held responsible for the loss, theft or damage of items left in rooms or common areas, unless they have been deposited in the secure facilities provided for this purpose.
ZOOM HOTEL has a room adapted for persons with reduced mobility, located on the ground floor, as well as common areas designed to facilitate movement. For any question relating to accessibility, including dimensions, specific equipment or special requirements, Customers are invited to contact the hotel before their stay in order to ensure an optimal welcome.
Article XIV. Liability
Customers must report any damage as soon as they become aware of it. They are responsible for damage caused by themselves or their visitors.
ZOOM HOTEL cannot be held liable in the event of force majeure, such as strike, fire, general power outage, terrorist threat, etc.
Article XV. Impossibility of performance / force majeure
In the event that the contract cannot be performed, except in cases of force majeure, ZOOM HOTEL will offer an alternative solution in the same city.
In the event of force majeure, performance of the contract may be suspended without compensation.
Article XVI. Internal Rules
The Internal Rules form an integral part of these General Terms and Conditions and must be respected by all Customers.
Article XVII. Insurance
ZOOM HOTEL is insured for the risks inherent to its activity.
Customers remain responsible for their personal belongings and are invited to take out appropriate insurance.
Article XVIII. Protection of personal data
ZOOM HOTEL processes personal data in accordance with the GDPR.
Customers have a right of access, rectification, deletion, objection, restriction or portability.

Article XIX. Modifications
ZOOM HOTEL may modify its General Terms and Conditions at any time. The applicable version is the one in force at the time of reservation.
Article XX. Document retention
ZOOM HOTEL retains documents relating to reservations for at least five years.
Article XXI. Applicable law and disputes
These General Terms and Conditions are governed by Belgian law. Any dispute shall be brought before the competent courts of Brussels.
